When Should You Reserve Mount Elbrus Rental Gear?

Learn when to send Mount Elbrus rental dates, sizes and equipment requests, and why availability should be confirmed before travel.

Send your Mount Elbrus rental request once the dates, route and working equipment list are known. Waiting until the final week leaves little time to solve a size or compatibility problem, but a message with no measurements, rental period or number of participants is not a usable reservation. A proper request lists each item with sizes, dates and quantities; a reservation is confirmed only when the shop replies and confirms your actual dates.

There is no universal deadline that guarantees stock. The less common the size, the larger the group and the more complex the equipment system, the earlier you should ask. During holidays, weekends and peak periods, popular sizes of winter and high-altitude equipment run out faster.

Which items should be requested first?

Start with equipment that cannot be replaced by a random alternative:

  • double mountaineering boots in an uncommon or popular size;
  • crampons that must be adjusted to a specific pair of boots;
  • uncommon clothing sizes and high-altitude down jackets;
  • ski-touring boots, skis, bindings and skins as one compatible system;
  • ski and snowboard sets for a large group;
  • large backpacks, sleeping bags, tents and specialized technical equipment.

Price does not determine priority. The number of workable alternatives and the consequences of an item being unavailable matter more. A simple accessory may be easy to replace; unsuitable boots or incompatible crampons can require the entire set to be rebuilt.

A practical reservation timeline

After choosing the route and dates

Obtain the organizer’s or guide’s list, mark what you own and send the missing items. If the trip is still weeks away, this is not too early for uncommon sizes, several sets or a remote program.

One to two weeks before arrival

Recheck the dates, number of participants, measurements and any program changes. This is a checkpoint, not a universal last day to ask. During a busy period, making first contact at this stage may already be too late for some items.

A few days before pickup

Agree on your arrival time and make sure the shop has the latest version of the request. Report any change to flights, transfers or the program immediately.

On pickup day

Allow time for fitting, changing size and checking the set together. Collecting technical equipment a few minutes before the group leaves or the shop closes is a poor plan.

What turns a list into a usable request?

  • exact collection and return dates;
  • route or program and season;
  • a separate line for every participant;
  • height, weight, clothing size and shoe size where relevant;
  • the length of both feet in millimeters for boot selection;
  • skiing or snowboarding ability for a winter set;
  • what each person owns and what the organizer provides;
  • shared equipment with exact quantities and specifications;
  • contact details for the person responsible for pickup.

The calculator keeps this information in one place. Selecting a program loads a personal starting list and suggested rental periods, but every line can be changed. Submitting the calculation does not reserve anything. Stock is confirmed only when a staff member replies and confirms the set.

How to reserve for a group

Do not send “six adult sets.” For each person, provide a name, height, weight, foot length, sizes, ability level and requested items. This reduces the risk of mixing up boots, skis, clothing and paperwork during handover.

One coordinator adds the shared equipment after checking it with the group leader. Ropes, tents, stoves and group first-aid kits should not be copied into every personal request. See the shared-equipment planning guide for the full method.

What counts as a confirmed reservation?

A saved calculation, submitted form or Telegram message means only that the shop has received a request. Wait for a reply confirming the available items, dates, price and terms. Unless a specific model has been agreed in advance, it may change after fitting.

Prepayment, cancellation, no-show, documents, deposits and returns are governed by the current rental terms. Check the live version before paying instead of relying on an old screenshot or a calculation from an earlier trip.

If the program or dates change

Do not open a separate thread and leave the shop with two conflicting versions of your request. Reply in the existing conversation and list every change: date, added or removed item, size, quantity or route. Ask for an updated confirmation.

A route change may alter not only the list but the rental period of individual items. Trekking poles may be needed before mountaineering boots, while group camping equipment may be required only for the remote section of a program.

Why fitting is still required

Accurate measurements only help prepare possible options. Mountaineering boot fit is checked on both feet, crampons are adjusted to the chosen pair, a backpack is adjusted under load and clothing is tried on over the layers you will actually wear underneath. A ski set also requires the skier’s ability level so the bindings can be set.

Larger orders take longer to hand over, because each set is fitted and checked in turn. Agree on the group’s arrival time so that the fitting does not turn into handing out unlabeled gear at the door.

An extension also needs confirmation

If you want to keep the equipment for another day, contact Rock’N’Rent before the paid rental period ends. Extra days can be added once the shop agrees. Keeping the set without telling the shop is not an extension because the item may already be promised to the next customer.
